2. Data we may process
In connection with the free audit form or other contact, we may process: a property listing URL, e-mail address, name or company name, phone number, message content, selected areas of interest and the language of the enquiry.
If you send a link to a public listing, we may review information available at that link only to the extent necessary to prepare the audit or perform the agreed service.
The website server and infrastructure may also process basic technical data such as IP address, request date and time, browser type, device information and security logs.
3. Purposes and legal bases
Data submitted through the form is not used for a newsletter. LOKADR does not currently operate a newsletter.
- handling your enquiry, preparing the free audit and taking steps at your request before entering into a contract — Article 6(1)(b) GDPR;
- entering into and performing a contract, including communication about delivery, payments and revisions — Article 6(1)(b) GDPR;
- meeting legal, tax and accounting obligations — Article 6(1)(c) GDPR;
- establishing, pursuing or defending claims, protecting the website and documenting correspondence — Article 6(1)(f) GDPR, our legitimate interests;
- if a future activity requires consent, the basis will be Article 6(1)(a) GDPR. Consent will be voluntary and may be withdrawn.
4. Is providing data mandatory?
An e-mail address and listing URL are required so that we can respond and prepare the audit. Other fields, including phone number and message, are voluntary unless we agree otherwise for a specific order.
5. Recipients of data
Data may be entrusted to service providers that help us operate the website and client communication, in particular hosting and cloud infrastructure providers, e-mail providers, form and message-delivery providers, IT providers and, where necessary for settlements, accounting or payment providers.
They receive only the data needed for their tasks. LOKADR does not sell personal data.
If the website loads resources hosted by external providers (for example image files), that provider may receive basic technical request data such as the IP address and browser information under its own privacy rules.
6. Transfers outside the EEA
Some technology providers may process data outside the European Economic Area. Where such transfers occur, they are made using safeguards available under the GDPR, such as an adequacy decision or Standard Contractual Clauses.
7. Retention periods
- enquiries that do not lead to cooperation — generally up to 12 months from the last contact;
- data related to an order, contract and settlements — for the time needed to perform the contract and then for the period required by law or necessary to defend against claims;
- complaint or dispute data — until the matter is closed and relevant limitation periods expire;
- technical logs — for the period necessary to maintain security and proper operation of the website, according to infrastructure settings.
8. Your rights
Within the limits provided by the GDPR, you may have the right to access, rectify, erase or restrict your data, to data portability, and to object to processing based on legitimate interests. Where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of earlier processing.
You also have the right to lodge a complaint with the Polish supervisory authority — the President of the Personal Data Protection Office (UODO).
9. Automated decision-making
LOKADR does not make decisions producing legal effects solely by automated means and does not profile users on the basis of form data.
10. Security and policy changes
We use organisational and technical measures appropriate to the scale of the activity and the type of data processed. This policy may be updated if the website, tools or legal requirements change. The current version is published on this page.
